Rolling Over Fiscal Year Data

As your organization transitions into a new fiscal year, it is important to update your Portfolio File so Version2 continues to reflect accurate giving data and donor context.

This article outlines the recommended updates to make after your fiscal year rollover and reviews key Portfolio File formatting requirements.

Updating Fiscal Year giving fields

After your fiscal year rollover, update the Fiscal Year giving columns in your Portfolio File to align with your organization’s new reporting structure.

The following fields should be updated:

FY0_TD

Update this field so it reflects current fiscal year giving.

FY_1

Update this field so it reflects giving from the previous fiscal year.

FY_2 and FY_3

Shift these fields accordingly so they continue to represent earlier fiscal years.

Maintaining accurate Fiscal Year totals helps ensure the VEO has the appropriate giving context for:

  • Stewardship outreach
  • Solicitation timing
  • Donor engagement strategy
  • Reporting alignment

Portfolio File formatting reminders

When preparing updated Portfolio Files, continue following the standard Version2 Portfolio Template requirements.

Portfolio Template structure

  • Portfolio Files should continue to follow the approved Portfolio Template structure
  • Column headers should exactly match the Portfolio Template
  • Do not rename or modify standard column headers

File format

  • Files must be submitted in CSV format

File naming convention

Use the following naming format when uploading files to your SFTP.

version2_portfolio_MM-DD-YYYY.csv


During fiscal year rollover updates, Version2 recommends reviewing:

  • Column header consistency
  • File naming conventions
  • Data formatting and field alignment

This helps prevent processing issues and ensures reporting continuity across fiscal years.
