Understanding the Contact Validation Report
The Contact Validation Report identifies donor records with phone numbers that may not be suitable for SMS outreach. The report helps organizations improve deliverability, clean up records with wrong numbers, and identify donors who may no longer have any valid contact method available.
This report only includes donors whose phone numbers were recently validated and were found to have an SMS delivery issue or were identified as a wrong number.
In the future, this report will be broadened to flag donors with invalid email addresses as well. You will receive confirmation from the Version2 team when the data presented in this report changes.
What is Validation?
Validation is an automated API process where phone numbers in Version2 are sent to Twilio (the vendor partner Version2 uses for SMS) to confirm that the number is able to receive text messages.
All phone numbers are validated upon introduction to the portfolio (importing a new portfolio, or adding a new donor at any time triggers this process) as well as at the beginning of each month (for all donors with an Active status in the portfolio).
When validation occurs, Version2 logs the time and date of the most recent validation.
If a donor has a valid email on file, outreach will automatically switch to email outreach until a new number has been provided. Once a new phone number is provided, the system will validate that number and if SMS messages can be received, the system will return to texting the donor.
What is the Validation Report?
The Validation Report is a csv file that can be delivered to you through the standard SFTP file delivery process with information on each Active donor's current ability to receive communications through SMS.
What Records Are Included in the Report?
A donor will appear in the Validation Report if all of the following are true:
- A phone number exists on the donor record in Version2.
- The phone number was validated since the last time the report was generated.
- The phone number either:
- Cannot receive SMS messages as identified through Twilio's deliverability screening
- Has been identified as a wrong number through the outreach process.
As a result, the report is exception-based and only contains records requiring review or potential data cleanup.
Since all active donors are re-validated monthly and the validation date triggers inclusion on the report, you will continue to see any invalid number that has not been cleaned up (removed or updated) in the first file of the month.
You may see phone numbers in the Contact Validation Report that are marked as VALID with a Carrier Type of “Deliverable - Mobile,” but show DELIVERABLE = FALSE.
This does not necessarily mean the phone number is invalid. Deliverability can be temporarily affected for several reasons, such as the recipient’s device being powered off or unavailable, having insufficient signal, or roaming outside the carrier’s network.
We recommend keeping these numbers active through several validation cycles. A number that is temporarily undeliverable may become deliverable again during a future validation.
The SMS Validation Report is a scheduled report and is typically set up on the same cadence as your Data Return File and delivered to you through SFTP. The first file you receive will include ALL invalid/incorrect phone numbers in the Version2 system, and subsequent files will only contain NEW invalid/incorrect phone numbers.
Field Definitions
| Field | Customer-Facing Definition |
|---|---|
| ORGANIZATION NAME | Name of your organization. |
| CRM ID | The constituent’s unique ID in your CRM. |
| CURRENT STATUS | The constituent’s current status within the Virtual Engagement Officer portfolio: Active, Inactive, or Graduated. |
| DONOR NAME | The constituent’s name. |
| PORTFOLIO | The portfolio to which the constituent is currently assigned. |
| FUNDRAISER | The Virtual Engagement Officer associated with the constituent’s portfolio. |
| The email address currently on file for the constituent. | |
| NO EMAIL ON FILE | Indicates whether the constituent has no email address on file. |
| EMAIL OPT OUT | Indicates whether the constituent has opted out of email communications. |
| CELL NUMBER | The mobile phone number currently on file for the constituent. |
| VALID | Indicates whether the phone number passed phone validation. |
| CARRIER TYPE | Identifies the type of phone number, such as mobile, landline, VoIP, or toll-free, and whether that number type can receive SMS messages. |
| DELIVERABLE | Indicates whether SMS messages can be delivered to the phone number. |
| VALIDATED DATE | The date the phone number was most recently validated. |
| WRONG_NUMBER? | Indicates whether the phone number has been identified as incorrect for the constituent. |
| WRONG REASON | Provides additional information about why the phone number was identified as incorrect, when available. |
| UNREACHABLE |
Indicates whether the constituent currently has no usable SMS or email contact method. A constituent with an SMS issue who can still be reached by email will be marked FALSE. Just because a donor is currently flagged as 'unreachable' does not mean they have never received messages from the VEO. Changes/updates in phone number, email or opt out status can all trigger a donor to become 'unreachable.' |
| UNREACHABLE REASON | Explains why the constituent is considered unreachable, such as an undeliverable or incorrect phone number combined with no email address or an email opt-out. |
How to Use This Report
The SMS Validation Report is designed to support ongoing data hygiene and outreach effectiveness. Common uses include:
- Removing invalid phone numbers from donor records.
- Correcting records identified as wrong numbers.
- Identifying landlines and other non-textable phone numbers.
- Prioritizing data cleanup efforts.
- Identifying donors who are currently unreachable because no valid SMS or email contact information exists and either updating their contact data or removing them from the portfolio.
Regular review of this report can improve outreach performance and help ensure communications are reaching the intended recipients.
