Robotic Handwritten Note FAQs

As part of Version2.ai, your Virtual Engagement Officer can send robotic handwritten notes to donors. These notes provide a personalized stewardship touchpoint that complements the VEO's digital outreach and helps donors feel recognized for their support.

Below are answers to some common questions about robotic handwritten notes.


What is a robotic handwritten note?

It is a real, physical card that a donor receives in the mail. They are created through Version2's exclusive partnership with IgnitePOST to use real pen and ink notes handwritten with robotics to help your VEO cross the digital threshold and delight your donors with personal stewardship notes.


Who gets a handwritten note from the VEO?

Donors receive a handwritten note the first time they make a gift while assigned to the VEO's portfolio.

This is true regardless of the gift amount. Whether a donor gives $10 or $10,000, their first gift while in the portfolio qualifies for a handwritten note.

The handwritten note is intended to serve as an additional stewardship touchpoint and recognition of the donor's support.


Can I exclude certain donors from receiving a handwritten note?

Not at this time.

Currently, handwritten notes are configured at the portfolio level and operate as an all-or-nothing setting:

  • Enabled: All qualifying first-time donors in the portfolio receive a handwritten note
  • Disabled: No donors in the portfolio receive handwritten notes

Additional criteria or donor-level exclusions are not currently supported, though more advanced eligibility options may be considered in future enhancements.


How do I know the handwritten note is on brand?

Shortly after your VEO goes live, and before handwritten notes begin, the Version2 team will work with your organization to review and approve:

  • The note design
  • The note content
  • Any organization-specific branding elements

The same approved note template is used for all qualifying donors and is personalized using information such as:

  • Donor name
  • Giving details

This ensures consistency while still providing a personalized stewardship experience.


Are handwritten notes reflected in the Data Return File?

Not currently.

At this time, handwritten note activity does not appear in the Data Return File.

However, this is currently in development and in the future, handwritten note activity will be included in future Data Return Files.

The good news is that the current Data Return File structure was designed with this capability in mind, so no changes to your existing file processes should be required when this functionality becomes available.


Can handwritten notes be customized for individual donors?

No.

Handwritten notes use a standardized, approved template that is personalized with donor-specific information. Individual note content is not currently customized on a donor-by-donor basis.

This approach ensures consistency, scalability, and brand alignment across all handwritten stewardship outreach.
