Opt Outs and Inactivation in Version2

Version2 is designed to recognize and respect donor communication preferences and automatically respond to certain changes in a donor’s status. Depending on the situation, Version2 may opt a donor out of a specific communication channel or inactivate them from the VEO portfolio entirely.

Automatic Opt-Outs

When a donor replies with a standard opt-out keyword, such as “STOP” or “UNSUBSCRIBE,” Version2 automatically opts the donor out of that communication channel.

In these cases:

  • The VEO does not send a reply acknowledging the request.
  • For SMS, the mobile carrier will typically send an automated confirmation of the opt-out.
  • No additional VEO communication will be sent through that channel.
  • If another valid contact method is available, the VEO may continue communicating with the donor through that channel.

For example, if a donor replies “STOP” to a text message but still has a valid email address, SMS outreach will stop, but the VEO may continue engaging the donor by email.

Channel-Specific Opt-Outs

Donors do not need to use a standard opt-out keyword for Version2 to recognize their preference.

If a donor responds with language such as:

“Please don’t text me.”

the VEO will acknowledge the donor’s preference and opt them out of that specific channel.

This is considered a channel-specific opt-out rather than a request to end all communication. If another valid contact method is available, the VEO may continue outreach through that channel.

Full Opt-Outs

Broader requests indicating that the donor does not want further VEO communication are treated as full opt-outs.

Examples may include:

  • “Take me off your list.”
  • “Please don’t contact me.”
  • “I don’t want to work with AI.”
  • Similar language indicating the donor wants all VEO outreach to stop.

In these situations, the VEO will acknowledge the donor’s preference when appropriate and opt the donor out of all available communication channels.

A full opt-out also triggers an automatic inactivation from the VEO portfolio, preventing any future VEO outreach to that donor.

Automatic Inactivation

In addition to full opt-outs, Version2 can automatically inactivate donors when information received through a VEO interaction indicates they should no longer receive outreach.

Automatic inactivation occurs in the following situations:

  • Full opt-out: The donor communicates that they no longer want to receive VEO outreach through any channel.
  • Deceased donor: Version2 receives an indication that the donor is deceased. This most commonly occurs when a family member or other contact replies to an email or SMS to notify the VEO.

In either situation, the individual is inactivated from the VEO portfolio and will no longer receive VEO outreach.

Automatic inactivation helps ensure Version2 responds appropriately to information received directly through donor conversations, even when that information has not yet been reflected in your CRM.

Keeping Version2 and Your CRM Aligned

Because Version2 can automatically inactivate individuals based on information received through VEO interactions, portfolio counts in Version2 may occasionally differ from portfolio counts in your CRM.

The Portfolio Detail Report provides visibility into donor status within Version2 and can be used to identify these changes so they can also be reflected in your database.

We recommend reviewing the Portfolio Detail Report as part of your regular data management process to help maintain consistency between Version2 and your CRM.

If your organization does not currently receive the Portfolio Detail Report, please contact version2support@givzey.com to have it added to your regular export process.
