AI Policy and Communication Resources for Partners
Our AI Security Policy explains how Givzey | Version2.ai uses AI, protects data, and maintains transparency in donor communications. We encourage you to use the published policy as the source for detailed questions about our practices.
The sample language below is available for your organization to use or adapt when explaining the Virtual Engagement Officer (VEO) program to donors, board members, and other stakeholders. The first option is a short statement you can share in a conversation or written communication. The second is a longer example for your website. Review and customize the language to reflect your organization’s program and contact information before publishing it.
1. Short statement about data protection and transparency
Givzey | Version2.ai uses only the data our organization authorizes for the Virtual Engagement Officer program. That data is transferred through a secure connection and stored in a secure, encrypted environment with restricted access. Version2.ai states that personally identifiable information is not exposed to third-party vendors, and its AI service providers do not use our data to train their models. Donors are told when they are communicating with an AI-powered Virtual Engagement Officer and can ask to connect with a member of our team instead. For more information about data handling, including retention and deletion, read Version2.ai’s AI Security Policy.
2. Sample website language about your use of Version2.ai
The following is a starting point for an organization that uses a Virtual Engagement Officer. Replace bracketed text and adjust the description to match your program.
Why we’re sharing this
We use software to help us stay connected with the people who support [organization name]. Some of that software uses artificial intelligence, including our Virtual Engagement Officer (VEO) program. We want you to know when AI is part of a conversation with us and how you can reach a person when you prefer to.
What we use it for
Our Virtual Engagement Officer gives you another way to hear about the work you support, ask questions, and stay connected with [organization name]. It helps us respond to more supporters while our staff remains available for conversations that call for a personal follow-up.
Our team is still here
The VEO adds to our team’s capacity. It does not replace a relationship you already have with someone on our staff. You can ask to speak with a team member at any point, and we will arrange a follow-up. The VEO may also refer a question to our staff when it cannot answer appropriately.
How we identify AI
The VEO is powered by AI. We disclose that in its communications and provide a way to connect with a person instead. We may also remind you that you are communicating with AI as a conversation continues.
Human oversight
Version2.ai monitors VEO interactions for response quality, appropriate referrals, and situations that require escalation. Our staff also reviews the program regularly, including outreach and responses, so we can improve how we serve you.
How your information is handled
We provide Version2.ai with selected information that we have authorized for this program. Version2.ai describes its security, data handling, AI service providers, and data retention practices in its AI Security Policy. For questions about how [organization name] uses the program or your information, contact us at [contact information].
Your communication preferences
You can tell us at any time that you no longer want to hear from the VEO. You may reply STOP to an SMS message to stop texts, or tell us in your own words which communications you do not want. To stop all VEO outreach or request a conversation with our staff, reply to a message or contact us at [contact information]. We will honor your preference.
