Selecting your VEO Email Address

Your Virtual Engagement Officer (VEO) needs an email address to send and receive messages with members of its portfolio.

Version2 supports two email configuration options.

Your VEO uses an email address on the same .ai  domain as its landing page.

Example:

alex@charlesriveru.ai

This is the default configuration and is recommended for most organizations.

  • No DNS configuration or ongoing maintenance required from your team

Setup

No technical setup is required.

Your Onboarding Manager and the Version2 Engineering team will configure everything for you. The only action required from your organization is adding the VEO email address and .ai  domain to your email safelist to ensure internal deliverability. Instructions are provided during onboarding.


Option 2: Use an Email Subdomain from Your Organization

If you prefer your VEO emails to come from your organization's domain, you may configure a dedicated email-only subdomain.

Example:

alex@veo.charlesriveru.edu

This subdomain is used exclusively for VEO email communications. It is not used for websites or user mailboxes.

Important: This must be a dedicated subdomain (such as veo.yourdomain.edu ), not an existing email address or mailbox.

How It Works

Your dedicated subdomain enables Version2 to:

  • Authenticate outbound email sent through SendGrid
  • Route inbound donor replies securely to the Version2 platform
  • Keep VEO communications separate from your organization's primary email environment

No mailboxes or inboxes need to be created or managed by your IT team.

Your Organization's Responsibilities

Your team will complete a one-time DNS configuration by:

  • Creating the dedicated subdomain
  • Adding the NS (Nameserver) records provided by Version2 to delegate management of that subdomain

Once the delegation is complete, no additional DNS management is required.

Version2's Responsibilities

Version2 manages all ongoing technical configuration, including:

  • DNS records for the delegated subdomain
  • SPF, DKIM, and DMARC authentication
  • SendGrid configuration
  • MX records for inbound email routing
  • Secure processing of donor replies
  • Ongoing monitoring and maintenance

Security

  • All email traffic is encrypted using TLS.
  • Version2 manages industry-standard email authentication and continuously monitors the email infrastructure to ensure secure, reliable delivery.

  • VEO communications remain isolated from your organization's primary email environment

Which Option Should You Choose?

Most organizations choose the default .ai  email address because it requires no technical setup, matches the VEO landing page, and is fully managed by Version2.

Organizations that have institutional branding requirements or prefer donor emails to originate from their own domain may choose the dedicated email subdomain option.
