Inactivating Donors from a VEO Portfolio
This article explains how to inactivate donors so they no longer receive outreach from the Virtual Engagement Officer (VEO), and how to manage related data moving forward.
Steps to Inactivate a Donor
To inactivate a donor in the VEO portfolio, complete the following steps:
1. Submit a Portfolio Management File
- Include the donor’s CRM ID
- Set the action to “Inactivate”
- File must be in CSV format
-
Use the following naming convention:
version2_pm_MM.DD.YYYY.csv
This step formally inactivates the donor in the Version2 system.
2. Submit an Updated Portfolio File on Your Regular Schedule
- Remove the donor from your Portfolio File
- Simply excluding the donor from a Portfolio File will not remove them
This keeps your CRM data and Version2 portfolio in sync.
Auditing Your Portfolio
If you would like a Portfolio File generated by Version2 and placed on the SFTP from Version2 for auditing purposes:
- Email version2support@givzey.com
- CC your Customer Success Manager
The file will be available in:
/transfers/from_ver2/
This file can be scheduled weekly or monthly for your review.
Impact on Giving Since Launch Metrics
Donors will still be counted in VEO Giving Since Launch numbers.
Reactivating Previously Inactivated Donors
If you ever want to reactivate a donor:
- Submit a new Portfolio Management File
- Include the donor’s CRM ID
- Set the action to “Reactivate”
Once processed, the donor will be eligible for VEO outreach again.
